Valley Catering Policies
Delivery, Set-up, and Pick-up
A minimum $20.00 fee is charged per trip to OSU Campus, Albany and Corvallis city limits. Weekend and evening deliveries: $25.00.
Travel fee to extended areas:
- Tyee Winery ~ $50.00
- Beckenridge Winery ~ $100.00
- Mission Mills ~ $100.00
- Green Gables Garden ~ $50.00
- Garden in the Woods ~ $50.00
- Beazell Park ~ $100.00
A gas fuel charge may be added at any time depending on gas prices.
A minimum daytime delivery is food for 12 guests and a $100.00 order. For weekend and evening deliveries the minimum order is 25 guests. All meals, except box lunches, require pick-up unless other arrangements have been made for returning dishes.
Extra charges may be required on large catering orders requiring extra staff to deliver.
Extra charges may be required for complicated set-ups or buildings that require additional efforts due to the distance from the catering truck or unusual situations.
Delivery hours are 7:00 a.m. – 5:00 p.m. weekdays. Evening and weekend deliveries are available for an additional charge.
Buffet Times
To ensure food safety, buffet food will be available for a maximum of 2 hours.
Food Quantities and Leftovers
Food quantities are based on the number of guests and duration of the event. Valley Catering, Inc. provides enough food to ensure sufficient quantities for the agreed upon number of guests. Remaining food is at the caterer’s discretion of food safety.
Service & Staffing
For service using china, there is a minimum hourly charge is $18.00 per hour per server or 18% total food and beverage, whichever is greater. Events longer than five hours may be charged an additional service fee.
Facility Fees
The following facilities charge a percentage on total food and beverage provided at the facility. Valley Catering, Inc. collects this fee and pays the facility:
- CH2M Hill Alumni Center 10%
- La Sells Stewart Center 5%
- Memorial Union 5%
- Linn County Expo 10%
Food safety and quality along with professional service is our ultimate goal. Gardens, parks, vineyards, museums, backyards offer beautiful and unique venues. They are also more challenging to our chefs and catering staff. A 10% surcharge on all food will be added to outside venues and facilities with no kitchen access.
Statement of Policies for Weddings and Large Banquets Deposits and Payments:
A NON-REFUNDABLE $200.00 deposit is due either when the event is confirmed or to hold the date.
A contract is signed at the time of deposit.
Half of the total payment is due and required 30 (thirty) days before the event. The balance is due upon presentation of the bill, immediately upon completion of services.
A guaranteed number of guests is required 1 (one) week in advance of the event date.
You will be charged for the guaranteed number or the actual number, whichever is greater.
Our quotes are based on projected seasonal availability and price. Should substitutions or price adjustments be required, we will notify you as soon as possible.
Cancellations
CATERING AND FACILITY DEPOSITS ARE NON-REFUNDABLE and NON-TRANSFERABLE. Full payment is required for any cancellation that occurs less than 48 hours before the scheduled event.
Alcohol Service
Full alcohol bar is available at the Linn County Fair and Expo and Adair Clubhouse. Full bar set-up is $75.00 for the use of our license and liability insurance (fee waived at Adair Clubhouse). Hosted or No Host beer, wine or champagne available.
The bartender fee is a minimum of $18.00 per hour per server.
Valley Catering, Inc. provides all alcohol and food.
Local beers and wines are available; ask for a current list. Others are available upon request.
A maximum of 4 (four) hours of alcohol service is available at each event. Additional service is available through prior arrangement at an extra hourly rate.
Valley Catering, Inc. strictly adheres to all laws and regulations pertaining to the sale and service of alcoholic beverages. We ask your understanding and cooperation in preventing sales to minors or intoxicated individuals.
Linens and China
$3.50 / tablecloth – white; other colors are available at an additional charge
$0.45 / napkin – a variety of colors are available
Linens are provided on food and beverage tables at no extra charge. Other linens are available at an additional price. Check with the facility as to what’s provided. We are happy to rent china, glassware, etc. for your event. Ask about prices and availability.
The Clubhouse Rental includes the following:
- Customized menu planning
- Bar set-up
- Linens, china, tables and chairs
- In-house coordinators
- Set-up and clean-up
- Ample parking
- Coffee and punch service
- Large dining room and lounge area
- Beautiful patio setting
- CD player, podium and microphone
Available at an extra charge: Flip-charts and markers, VCR, centerpieces, candles.
